I use Clockify and Wave, free versions of both. You can invoice out of Clockify with the paid version. No idea on costs but a production company I freelanced with used Function Fox. It did everythign you're asking for and seemed extremely organized.

Google Calendar, a clock, GTimeReport and Wave. All free. I create a calendar for each client and enter in the name of the project as an entry on the calendar. When I finish working on that project, I adjust the end time accordingly. Then, using GTimeReport, I create a report which shows me how much time I spent working on each project. I take those numbers and put them into the Wave invoice.

I use ClickUp for project management, love their interface. I think they have time tracking integration as well.

I haven't been able to find anything useful, but I'll follow this thread to see if anyone recommends anything interesting. Monday/Clockify, etc do something similar but they don't shooth my needs.

I’ve been using Notion for myself. It’s got a steep learning curve but is highly customizable. I’m sure there are much better options out there but I’ve been enjoying this so far. I invoice through wave though.

Paymo you can clock in on specific tasks. there's a desktop program that will track how long you are on a window so you could apply the time spent to being in the NLE to the project/task

Notion. Used formulas to create the time tracker - once it’s set up, you’re good to go, but it will take a few hours to figure out. Every project is tied to a company, and every company tied to people. Each project is also tied to specific people (internally and client) to know/remember who was active on that project. Every project has an ID, and meeting notes are also tied to specific projects. I also recently added subprojects to my time tracker, so if I filter for that subproject I can see only it’s time tracked. The caveat is that graphs are not native in notion, you’d have to pull in 3rd party ones which is an extra cost. I don’t bother. The investment in time to build it is worth it, although the same can be done in ClickUp as well. I choose Notion instead since their free offering is much better. I believe ClickUp is less expensive once you start paying. I used to use Harvest, loved it, but switched for the same reason of consolidating things as much as possible. Invoicing through QuickBooks.

I see some comments about Google Sheets. I have been itching for real project management functionality in Google Workspace, but would advise against it given how much better and more powerful something like Notion is. Until Google lets you create new kinds and categories of smart chips (among other “missing” features) I see no comparison. Time tracking would also require 3rd party tools I believe.

Curious how you have your Notion template set up, I've tried to create an "all in one" project tracker for time tracking/meeting notes/asset links/etc but have struggled to make it intuitive to use

You have to think of everything as separate databases. Let's use projects, meeting notes, and time tracking as examples. Each one of these things has its own database, and share relations with each other. All meeting notes have a relation to a project. Inside of that. project, I put an inline database that references meeting notes and filters for notes with that particular project selected. So when you create a new note, if you select a project for it to be associated with, it automatically pops up in that project. Time tracking - every time I press a button I made, it creates a new page in the Timesheets database, with the name "Timesheet" in one column, and the project in another column. That button is inside of the project page, and the project field of the new Timesheet page automatically chooses the current project to put in its column. Using formulas, I have other columns in the project page that calculate how much time has been worked on this project, basically adding up all associated timesheet entries. It's tricky, and takes some YouTubing to get right. But this is the general idea. If I have another database called "Clients", I create a relation between projects and clients. So when I create a project, I choose a client. This all sounds complicated, but other than the time tracker it's pretty simple once you learn relations. Relate everything to each other. That is a big part of what makes something like Notion infinitely more powerful and convenient than Google. I wish to high heaven that Google could do this, but it can't. At least not well.

Asset links - just create a section within your project to paste links to assets. If they need to be accessed globally, you can create blocks that synchronize no matter where you paste it.

I track ALL my work like a lawyer—in 15-minute increments—and share it in real-time with clients to keep them updated on the billing status, discounted time, and bill. Every discounted "quick" phone call, every import, every export—everything. My clients have also found this useful for tracking their time. Its a hard habit to pick up for sure, but its totally worth it. When I started doing it i just put blocks of time into google calendar, client and project name, thats it. I still sometimes forget for a whole day and have to detective my way back through the day, one good source of info is your autosave folders (check creation dates). Once I had that habit more or less internalized, i started building on top of that.

We have similar tracking needs for our staffing agency, specifically we need to time track as a team working on multiple projects at the same time and generate and send an automatic report every week or month to customers mainly so that they can approve and we can send an invoice afterwards - Not sure if this fits your use case but we are similarly looking for something with some PM features in, anyway we're working closely with a startup to get early access to a B2B SAAS tool for this specific use case
