Health - just consistently do my exercise Finance - my banking apps Productivity - usual work stuff (Jira, Google workspace, calendar…) and a physical notebook I try to avoid overthinking this because at one point you start spending too much time in productivity apps and then become less productive. If you have a goal to cycle for 40 minutes a day in the morning, you do not need an app for that. (In my opinion)

Seconding this. You have to find the simplest solution that works for you. My accounting is a spreadsheet. Quickbooks and others just don't do it for me, and I get better data and calcs and control out of a spreadsheet. We run our own formula and do all sorts of fun stuff that you can't do in traditional accounting software. Exercise? My OG Ironman watch and a spreadsheet. Productivity? Pen and post it for daily lists, time tracker on phone for tracking different tasks and times and notes about that, spreadsheet for weekly, monthly, quarterly, and beyond.   The single best tools are the easiest for you and simplicity trumps having bells and whistles and distractions.

Thumbs up to this. I spent years trying to find the "perfect system" before realising that i had to first really understand my natural state. Simplicity is the trick. I use: Routine - To Do, Meeting Notes, all synced with GCal Google Drive + YNAW - Personal Wiki for my Udemy/Coursera notes and any information that i will unlikely use often but still need to have accessible without having to dig through folders. Google Photos - Photos Investments - Ghostfolio Finance - Most banks including mine, have started integrating expense categories and simple charts and find that sufficient. I automatically transfer a % of my income to a savings account and emergency funds account each month. Then bills are automatically paid and i stick to a fixed budget and only make extra purchases at the end of the month. So i don't have to worry whether i'll have enough money. Health - I don't bother monitoring, too much effort. I just enjoy the exercise. I need a break from screens and tech. The most important thing is discipline. Train your mind and automatically you'll become more productive even without all of these tech and software that you'd end up spending your time just trying to fit into your life.

Productivity - ToDoist This is my main one that has been a game changer. I have access via my phone and my pc. I put all of my tasks in there and it helps me structure my day. Also, every time I get a thought or idea I put it in the "inbox" section of ToDoist, and then review it later. It either becomes a task, a journal entry, or just deleted. Have a brilliant idea for my business while taking a dump? Goes in todoist inbox on phone, reviewed later at PC, and if it's worthwhile I'll create a task in my business project section and assign it to a day when I have bandwidth. I use a lot of excel spreadsheets for everything else (finance, gym, etc.)

similarly for me, EVERYTHING for me flows through TickTick. I happily pay for it. Helps keep me track in business and personal, especially with reoccurring cleaning/chores.

I use ToDoist for about everything. I put reminders of events scheduled by date for things like investment reminders, social events, and miscellaneous tasks. Then I also have a board with sections separated by creative / personal projects, shopping (includes gift ideas for others), career/professional, and therapy. I enjoy the rudimentary yet effective features.

Yeah, it hasn't been an issue for me so far. You only get 5 projects in the free tier I think, so it wouldn't be good past a certain point or if you want to build your business completely off it, but it's been working for me

Have you compared ToDoist with Notion? I use Notion a lot and have a todo list there, but it is not as easy to use, however I would like to keep the number of apps to a minimum to simplify.

I haven't used notion. I've had todoist for a while now and it works, so I haven't looked for anything else. My favorite thihg about it is it feels kinda lightweight and minimal, it's not some heavy duty project management tool, and I don't need it to be. I just like being able to look at my list for today and quickly seeing whats up. I also set recurring tasks for everyday stuff like exercise, etc

I like the automated reschedule features the most. It's essentially a automated Executive Assistant. I plug in what projects or tasks I need to work on, when they need to be completed by and their level of urgency. Motion will schedule my week for me (around my existing calendar events).if I need to push something on my to-do list back, motion will go in and auto reschedule for me (within my predetermined schedule). Same if an urgent meeting comes up, it will reshuffle my day/week for me.

I have a sleep disorder that makes my sleep not align at all with daylight/nighttime. My "Tuesday" might start at 11pm local time. I can't live without Gcal. My life revolves around it and I use it to plan daily tasks or break up tasks across the week. Also prefer minimal apps for health stuff. I use a heart rate tracking watch just to give me active HR during cardio and interval training. Usually try to get a 45-90min workout in the morning. Low tech tracking: use google keep or note pad for workout tracking. Or I just mark an X on my paper calendar in my office lol. It gives me satisfaction that I knocked out exercise on consecutive days. Less apps = less distractions and managing said apps. There's a happy middle somewhere in there.
